If you’ve just received your first sale and you want to make sure that you fulfill your first order correctly, then you can use the following process.

1. Review your payment capture settings in Shopify

In Oberlo, you can only place orders that have Paid payment status. If you capture your payments manually in Shopify, then you need to mark your order as paid in Shopify.

You can also configure your payment capture settings to automatically capture payments in Shopify.

Steps:

  1. From your Shopify admin, click Settings > Payments.

  2. In the Payment capture section, select Automatically capture payments for orders to capture payments automatically.

  3. Click Save.


2. Review your order processing settings in Shopify

If your order processing settings in Shopify are set to fulfill your orders automatically, then Shopify fulfills all your orders automatically in Shopify including orders with Oberlo products.

However, automatic order fulfillment doesn't work with Oberlo. If you want to fulfill your orders through Oberlo, then you need to disable the automatic order fulfillment in Shopify.

Steps:

  1. From your Shopify admin, click Settings > Checkout.

  2. Go to the Order processing section.

  3. In the After an order has been paid section, select Do not automatically fulfill any of the order’s line items.

  4. Click Save.

If Shopify has automatically fulfilled your order, then you need to cancel the fulfillment request in your Oberlo admin by clicking Orders > CANCEL REQUEST in the order you want to cancel.


3. Set up shipping confirmation notifications

If you want to automatically inform your customers when their orders are shipped, then you can set up automatic shipping confirmation emails or SMS.


4. Understand Oberlo order statuses

Understanding the Oberlo order statuses helps you to better process and make changes to your orders.

Order status

Description

To order

You haven’t placed this order yet. You should place the order with an AliExpress supplier.

To pay

You have placed the order with AliExpress, but you haven’t paid for it yet.

Awaiting shipment

Your order is placed and paid for in AliExpress. Your order receives a unique AliExpress order number and your supplier is processing your order.

Shipped

An AliExpress supplier shipped your order and added a tracking number to your order if applicable.

Canceled

Your order is canceled or frozen on AliExpress. You, the supplier, or AliExpress has canceled your order on AliExpress.


5. Review requirements to place your AliExpress order

Before you start placing your order, review the following requirements:

  • You need to have an AliExpress account.

  • You need to connect your AliExpress account to Oberlo.

  • You need to join the free AliExpress Dropshipping Program.

  • If your order doesn't show up in Oberlo, then you need to fix your missing order.


6. Connect your AliExpress account to Oberlo

To place and sync your AliExpress orders within Oberlo you need to connect your AliExpress account to Oberlo and join the AliExpress Dropshipping Program.

Steps:

  1. From your Oberlo admin, click Settings > Suppliers.

  2. In the AliExpress section, click CONNECT ACCOUNT.

  3. If you aren’t logged in to your AliExpress account, then log in, and click Authorize.

  4. In Oberlo admin > Settings > Suppliers, next to Dropshipping program, click Register now.

  5. Check I have read and agreed to the terms of the General Agreement for the AliExpress Dropshipping Project, and then click Next Step.

  6. Check I have read and agreed to the terms of the Data Service Authorization, and then click Next Step.

  7. Fill in your first and last name, and then click Submit.


7. Place your AliExpress order within Oberlo

Now you can start placing your AliExpress orders individually within Oberlo. If your Shopify order contains products from multiple AliExpress suppliers, then you need to repeat the following steps and place separate AliExpress orders with each supplier.

Steps:

  1. From your Oberlo admin, click Orders.

  2. Click ORDER next to the order you want to place.

  3. Optional: If your product is out of stock, then you need to change your product’s supplier to place the order. Otherwise, you need to cancel and refund your order.

  4. In the Order products side panel do the following:

    1. Review your customer’s shipping address details. If you want to edit them, then in the Shipping address section, click Edit.

    2. Review your note to the supplier. If you want to adjust it, then in the Product section, click EDIT.

    3. In the Shipping method field, select a shipping method for each product. If you want to automatically select your preferred shipping method, then configure your Suppliers settings.

    4. Review your order’s estimated total. Your estimated total is shown in the currency of your Shopify order and in USD. Your order is always placed in USD currency, but you can choose the currency you want to pay for your order on AliExpress.

  5. Click ORDER. Your order’s status changes to To pay.

After you place your order, you need to pay for it on AliExpress.


8. Pay for your AliExpress order on AliExpress

After you place your order, you need to pay for it on AliExpress.

Steps:

  1. From your Oberlo admin, click Orders.

  2. Click PAY ON ALIEXPRESS next to the order you’ve placed and pay for your order on AliExpress:

    • If you have the Oberlo Chrome extension installed, then select a payment method, and click Pay now. After you pay for your order on AliExpress the Oberlo Chrome extension changes your order's status to Awaiting shipment.

    • If you don’t have the Oberlo Chrome extension installed, then click Pay now next to the order you want to pay for, add a payment method, and click Pay now. After you pay, you need to click Sync with AliExpress next to your order in your Oberlo admin to update your order’s status to Awaiting shipment.

After you pay for your order you need to wait a few days until the supplier fulfills your order on AliExpress. Then you need to sync your AliExpress order.


9. Sync your AliExpress order

After the supplier ships out your order, you receive an email and your order gets a tracking number on AliExpress. You then need to sync your order’s information with Oberlo.

After you sync your order that is shipped on AliExpress, the following changes happen:

  • Your order’s status changes to Shipped in Oberlo.

  • Your order is marked as fulfilled in Shopify.

  • The order’s tracking number is synced with Oberlo and Shopify.

  • If you have configured the automatic shipping confirmations notifications, then your customer receives an order confirmation email or SMS.

If you want to see the date and time of your last order sync, then go to Oberlo admin > Orders > click Actions next to an order. The date and time are based on the timezone you select in your Other settings.

You can sync your order individually within Oberlo and mark your order as fulfilled in Shopify. You can sync a specific order up to 3 times in 24 hours within Oberlo. If you have the Oberlo Chrome extension installed, then you can sync your orders as many times as you want.

Steps:

  1. From your Oberlo admin, click Orders.

  2. Find the order that you want to sync.

  3. Click SYNC WITH ALIEXPRESS.


10. Monitor your order

Knowing the progress of your orders can help you create a good experience for your customers. If the tracking information is provided by your supplier, then you can track your customers' orders yourself and make sure that they are scheduled to arrive in the timeframe you advertise.

If you realize an order won't arrive in time, then you can contact your customer to offer a discount or refund in advance to increase their trust and desire to purchase from your brand again. Learn more about tracking your orders.
